Chapter 06 · Open Track

Open Track: party mode.

Run a party or an event on one car and one track. Load the guest list, start it on the night, and the queue calls each guest to the next free rig while a TV shows the board.

Where to find it·Admin panel › Open Track

Open Track is built for birthday parties, team events and anything else where a room full of guests takes turns on the rigs. Everyone drives the same car on the same track. You load the guest list ahead of time, start the Open Track on the night, and the queue calls each guest to the next free rig for a set number of minutes while a TV shows the board. Staff can run it from the admin panel or from a tablet.

The Open Track page

Open Track sits under Race control in the sidebar, after Groups. The page lists your Open Tracks in four groups: Live (running now), Scheduled (starts soon), Drafts (not started yet) and Ended (finished or cancelled). Each card shows the title, the car and track, the driving time and rotation, and how many rigs it uses. Click a card to open it.

Until you have one, the page reads No Open Tracks yet with a Create your first Open Track button. After that, use New Open Track at the top.

Setting one up

A new Open Track starts as a draft, and nothing runs until you start it. Fill in the setup and press Save draft.

FieldWhat it does
TitleThe name staff and the TV see, such as Friday party.
Track and CarOne track and one car for every guest, picked the same way as on the Groups page, with a region filter for tracks and a class filter for cars.
Track conditionsWeather, Time of day, Air °C, Road hotter than air by °C and Grip %. The two temperatures read Default until you type a number.
KindLaps: guests set lap times and the TV shows a lap board. Traffic: guests drive in AI traffic and the TV shows their best scores, and no laps are timed. See Traffic Open Tracks.
Driving time per guest (minutes)How long each guest drives, from 1 to 240. It starts at 8. You can give one guest more or less time later.
RotationManual: staff press Start when the guest is at the rig. Auto: the next guest starts on their own after the setup gap, unless you hold them. It starts on Manual.
Setup gap in secondsAuto only. How long a called guest has to sit down before their session starts, from 0 to 600. It starts at 60.
Leaderboard namesHow guest names look on the TV: Venue default, E. Lastname, Full name, First name and last initial or First name only. Venue default follows the venue's own setting (see Name styles).
Show all timesOn by default, for Laps only. Every guest who sets a lap appears on the board, and a guest with no valid lap shows with their fastest invalid lap in red. An invalid time never leads the board.
Rigs in the rotationTick the rigs the guests will use. A rig can be in only one Open Track at a time, and a draft or scheduled Open Track holds its rigs until it starts or is cancelled.

Once saved, the draft opens on its own page. The Setup card adds a TV look section with a Logo and an Accent colour for this Open Track's TV. Choose an image (PNG, JPEG, GIF or WebP) and it shows straight away as a preview; press Upload to save it, and Remove takes it off. The TV then shows it instead of the venue logo. The accent colour is used on the TV instead of the venue colour for guest names and highlights, and is saved with the rest of the setup; Use the venue colour puts it back.

The draft's page has Save and start and Cancel Open Track at the top. Cancelling asks first and frees its rigs for others.

The guest list

The Guests card holds everyone invited. You can fill it in days ahead and edit it at any time, including while the Open Track is live. A guest needs only a name; an email or phone number is optional and stays in the admin panel for your follow-up.

  • Add a guest. Type a full Name, or fill in First name, Last name, Email and Phone, and press Add guest. The first and last name together can be up to 40 characters.
  • Paste or upload a list. Paste one name per line, or a CSV with a header row, into the box, or press Choose a file to load a .csv or .txt file into it. Then press Import list. A note says how many guests were added and which lines were skipped and why.

A CSV can use one name column headed name, full_name, guest, guest_name or child, or separate first_name and last_name columns. email and phone are read too. Headers can be in any order and any case, spaces and dashes count as underscores, and extra columns are ignored, so a list with a Full Name or Child column imports as it is.

Each guest on the list has Add to queue (or an In the queue tag) and a trash button to remove them. Load everyone into the queue adds every guest who isn't queued yet, in list order. The field above the list, Driving time for the next guests you add (minutes), gives the guests you queue next their own driving time; leave it empty to use the Open Track's.

Starting and running it

Press Save and start. The car, track, conditions and kind lock once you start. You can still change the rotation, the rigs and the TV look, and press Save changes. While it is live you can add a rig only if it has a seat on the running server; you can remove a rig at any time.

Every five seconds Multitap looks for a free rig in the rotation (online, with no session running and not copying content) and calls the first guest in the queue who isn't on hold. The live page has three cards, and they update every few seconds.

Rigs

One card per rig, marked Free, Called, Driving or Offline, showing who is on it.

Guest isWhat you see and can press
Called, Manual rotationWaiting at the rig for you to press Start. Press Start once the guest is seated, or Not here.
Called, Auto rotationA countdown, Starts in 0:45. When it reaches zero the guest's session starts by itself. Start now skips the wait, Hold pauses the countdown (On hold) until you press Release, and Not here is there too.
DrivingThe time left on their run, and End early, which ends the run and the rig's session after a confirm and marks the guest done.

Not here sends a called guest back into the queue third in line, so the next guest gets the rig and the missing one is called again soon. Called guests also show their minutes, which you can still change.

Queue

The guests waiting, in the order they will be called. Each row has its driving time in minutes (change it for that guest alone; empty it to go back to the Open Track's), up and down arrows to move the guest, Hold or Release, and Remove. A guest on hold keeps their place but is skipped until released. Below the waiting list, Finished lists the guests who have driven and how many runs each has had; Again puts a guest back in the queue for another go.

Guests

The guest list stays on the live page, so walk-ins can be added and queued as they arrive.

Ending

Press End Open Track and confirm. The rotation stops at once and nobody else is called, even in the middle of an Auto countdown. An ended Open Track keeps its Leaderboard on a TV card with the final board, and its guest list with first name, last name, email and phone for your follow-up, with nothing left to press.

The board on a TV

The Leaderboard on a TV card holds the board's address, of the form your-venue.mlttp.com/leaderboard/open-track/ followed by a number, with Copy, Open and a QR code guests can scan with their phones. Open it on the TV and leave it.

The board shows the live ranking, who is up next, and who is called to or driving each rig, with the Open Track's logo and accent colour. On a track that has a map picture it also shows a live map with a dot for every car, labelled with the guest's name in the Open Track's name style. A Laps board with Show all times on lists every guest who has set a lap, invalid-only times in red.

Traffic Open Tracks

Set Kind to Traffic in a draft and two more fields appear: Traffic density (Venue default or one of the density choices) and Traffic speed (Map default or a set speed). The track list narrows to tracks with an AI line; if none is set up yet, the form says so and points you to the traffic maps on Cars & Tracks. Show all times does not apply to traffic.

  • The server seats only the rigs in the rotation, so pick them before you start. Starting a traffic Open Track with no rigs is refused, and rigs can't be added once it has started.
  • The traffic server starts with the Open Track and stays up for the whole event. A guest leaving does not stop it, and neither does Stop All Servers on the Groups page. Only End stops it.
  • Each guest's traffic score counts only for their own turn.
  • The TV shows the guests' best scores, a feed of recent moments such as crashes with names in the Open Track's style, and the AI cars as dots on the map.

On the Groups page, a traffic Open Track's server appears with the note Run by the Open Track page. and an Open Track button that takes you to it. Its End, Send again and per-rig stop controls are hidden there, because the Open Track page runs it.

On a tablet

The staff kiosk (Open kiosk at the foot of the sidebar) has an Open Track tab for running the night from a tablet. It lists the live Open Tracks, and scheduled ones under Starting soon; with none running it reads No Open Track is running. A manager starts one in Admin.

Pick one to see its rigs and queue with the same Start, Start now, Hold, Release, Not here, End early, Up, Down and Remove controls. Under Add to the queue, start typing a Guest name: matching guests from the list appear as buttons that queue them in one tap, and Add to queue adds a walk-in who isn't on the list. Load everyone queues the whole list after a confirm. The tablet can't create, start or end an Open Track, import a list or remove a guest from the list, and it never shows guests' emails or phone numbers.

Guests stay local

Party guests are often children, so their laps stay at your venue. A guest's laps are recorded in your venue's lap database and shown on the Open Track board, but they are not matched to a driver record, not sent to VenueLaps, not posted to Discord and not used for driver emails. Guest traffic scores stay off Discord and webhooks too. Your venue's own API and its lap webhooks still see guest laps, because those are your own integrations.

Name styles

The venue-wide style lives on the Leaderboard page, Screen appearance › Rows and names › Leaderboard names, with four choices: E. Lastname (the default), Full name, First name and last initial and First name only. It sets how driver names show on your leaderboards, challenge boards and traffic boards; Discord and emails keep E. Lastname. An Open Track set to Venue default follows it, or you can pick its own style in its setup.

The Rows and names group of the Screen appearance tab with Rows per page set to 10, the Leaderboard names list on E. Lastname (default) and its hint, and the Show unmatched laps on leaderboard switch

If a style would make two different people look the same on one board, such as two guests called Emma under First name only, the board adds a last initial to tell them apart: Emma R. and Emma T.
