Every lap at your venue is a reason to get in touch. Someone beat your customer's time; they set a personal best; they have not been in for a month; it is their birthday. Multitap writes and sends these emails on its own, in your colours, with your logo, to drivers who registered with an email address. You connect a mailbox once, tick the emails you want, and read the log.
Switching it on
The Enable Email System checkbox at the top of the page is the master switch. Until it is on, nothing is queued and nothing is sent. Below it are four tabs: Setup, Templates, Notifications and Queue & Logs. One Save Email Settings button under the tabs saves the Setup, Notifications and template colour settings together.
Setup
Mailbox
Multitap sends through your own email account or provider, so replies go to you and your domain's reputation stays yours. Pick an SMTP Provider Preset (Gmail, Outlook, Yahoo, SendGrid, Mailgun, Amazon SES, Zoho, or Custom) and the host, port and security settings fill in, with a short note about what that provider needs, for example an app password for Gmail. Then enter the username and password, a From Name (your venue name if left blank), the From Address, and an optional Reply-To.
Type an address into the Send Test Email box and press the button. The test uses your saved settings, so save first. Success or the provider's error message appears as a toast.
Physical address
Marketing email law in the United States requires a postal address in every commercial message. Enter yours under CAN-SPAM Compliance. Multitap prints it in the footer of every marketing email and will not let you enable the system without it.
Logo
Email clients block images that are not on the public internet, so the Logo URL field wants a direct link to your logo hosted somewhere public. Leave it blank and Multitap uses the venue logo you uploaded in Settings. A preview appears under the field when the link works.
Notifications
Six cards, each with a checkbox and an eye icon that opens a preview.
| Default | When it goes out | |
|---|---|---|
| Time Beaten | On | A driver has been pushed out of the top ten on a class-and-track board (or, in the stricter mode, dropped any position). Subject: Your time on Monza was beaten! with the new time and who set it. |
| Session Summary | On | After a driver's visit ends, meaning no laps for the timeout period. Seat time, laps, clean laps, highlights, cars and tracks driven. Visits under three laps are skipped. |
| Milestone Celebrations | On | A driver's first ever lap (Welcome to the grid), a new track record, or a personal best. At most one per driver per car and track every six hours. |
| Weekly Digest | Off | On the weekday you choose, to every driver with an email: venue activity for the week, their own laps and personal bests, and new records. |
| Birthday Emails | Off | On the driver's birthday, from the date on their record. You can write the greeting. |
| Comeback Reminders | Off | To drivers who have not visited for the set number of days: how long it has been, records set since, and their favourite tracks with their current position on each. |
Under Behavior Settings you tune the rules: whether Time Beaten fires only when a driver leaves the top ten or on any drop; a cooldown per driver per board (24 hours by default); a cap on emails per driver per day (5); the visit timeout (60 minutes); the comeback threshold and its minimum gap (30 days each); the digest weekday; and the birthday message.
The same section holds the Weekly venue summary for you rather than your drivers: on the weekday you pick, an email to your admin address (or any address you enter) with laps, unique drivers, active days, seat time, top tracks and cars, the week's fastest laps, the busiest days, and how the mail system performed.
Marketing emails go only to registered drivers with an email address whose in-game name is linked to their record. Every message carries an unsubscribe link, and Gmail and Apple Mail's one-click unsubscribe is honoured. A driver who unsubscribes is cut off at the moment of sending, even if a message was already queued. The unsubscribe page lets them opt out of individual types or everything.
Templates
Colours and previews
Eight colour pickers set the palette used by every template: background, card, the two header gradient colours, accent, alert, text and highlight. Reset to Defaults restores the originals. The Template Previews buttons render each email with sample data and your current colours, so you can see the result before saving.
Editing the content
The Template Editor lets you rewrite the body of any email type. Choose the type, edit the subject and the HTML content, and use the variable chips listed under the editor, such as {driver_name} and {track}, wherever the real value should appear. The header, footer and legal block are always added around your content. Preview Draft shows the unsaved version; Save stores it and marks the type as customised; Reset to Default puts the original back. Export All and Import move your customisations between venues as a file.
Queue and logs
Emails are queued and sent in small batches by a background worker. This tab shows what happened.
| Section | What it shows |
|---|---|
| 30-Day Activity | Sent, failed and cancelled counts per email type, a line of subscriber numbers, and a bar per day. |
| Counters | All-time pending, sent, failed and cancelled. |
| Retry All Failed | Re-queues every failed message after a confirmation. |
| Filter and export | Filter the log by status. Export a CSV of the last 7, 30 or 90 days, optionally by type and status. |
| Log table | Recipient, type, subject, status and date, ten per page. A failed row shows its error on hover and offers a retry; a pending row can be cancelled. |
| Run Diagnostics | Tests the mailbox connection and login, reports whether the worker is running and when it last processed a message, and lists any configuration warnings. |
A message that fails three times is marked failed and waits for you here. Booking confirmations and reminders travel through the same queue and appear in the same log.
